Questions and answers
Planning your event with us
Can't find your answer? Ask the helper in the corner any time, or send us a request. We'll reply the same day.
The basics
What do you do?
Three Arches Events & Rentals turns ordinary rooms into themed, immersive event spaces. We design, build, deliver and set up backdrops, arches, lit marquee letters, foam sculpture and custom 3D-printed props, plus the rentals around them: linens, tables, chairs, place settings, balloons, lighting and more. Then we take it all down after.
What kinds of events do you do?
Weddings, birthdays, baby and bridal showers, quinceañeras, military balls and dining-ins, unit and family-group events at Fort Leonard Wood, company holiday parties, church and school events, and city and county festivals.
Where do you work?
Fort Leonard Wood, St. Robert, Waynesville and the rest of Pulaski County, Missouri. We're based at our shop in St. Robert. Events at the Lake of the Ozarks are quoted case by case, so tell us the venue and we'll confirm.
Am I talking to a person?
The chat helper on our pages is an automated assistant that answers from this FAQ and our price book. It can't book, change or promise anything. For anything it can't answer, send the request form or your design and a person replies the same day.
Prices and packages
What packages do you offer?
Essentials backdrop ($395): One modular wall or arch in a custom printed skin with your name or theme, on two plinths. Signature set ($1,195): A layered 2–3 piece backdrop with two custom props, plinths, warm lighting and lit letters. Showpiece (from $2,500, quoted): A fully custom themed build, designed with you and quoted on hours and materials. Every quote adds delivery and setup, the damage waiver and sales tax, and you can add rentals to any package.
Is there a minimum order?
Yes. The minimum is $350 before tax, which is about where the Essentials backdrop starts.
What fees are on a quote?
Delivery, setup and take-down is a flat $150 in Pulaski County, shown on its own line. A damage waiver of 10% of the rental lines covers normal wear and accidents. Events booked less than 14 days out add a $100 rush fee. Missouri sales tax is added for your venue's address.
Do you charge sales tax?
Yes, on rentals and on things you keep (custom skins, props made for you, favors). Delivery and setup labor is listed separately and isn't taxed. The rate depends on the venue's address, and we confirm it before your quote is final.
How can I get a price for my event?
Start a design in our online studio: you'll see a live price from our price book as you add or remove pieces. Or send the request form for an instant range. The final quote comes from us after a person reviews your design.
Can I rent just tables, chairs, linens or balloons?
Yes, as part of an order of at least $350. Linens, place settings, chairs, tables, balloon garlands and columns, lighting, drape walls, signs, favors and more each have a set price per piece in our price book. Ask the helper about any item, or add it in the studio to see the price.
Booking, deposits and payment
How do I book my date?
A 50% deposit and a signed agreement hold your date. The balance is due 7 days before the event.
How can I pay?
By card, Apple Pay, Google Pay or bank transfer (ACH), from the secure link on your proposal.
What if I need to cancel?
If you cancel, your deposit becomes a credit you can use within 12 months. No cash refunds. The credit can go toward a new date or another event.
How far ahead should I book?
At least 14 days ahead. Inside that we can often still help with a rush fee of $100. Big custom builds and printed props need more time, so book those early. Popular dates like ball season and spring weddings fill first.
Can I change things after I book?
Yes, up to 14 days before the event, when the design locks so we can build and print. Changes after that are rush work. Each package includes 2 rounds of design changes; more rounds are $50 each.
Designing your event
How does the online design studio work?
Tell us about your event and you get three design directions built from pieces we actually own and make. Chat with the AI designer or change things by hand, and you'll see it in 3D with photo mockups and a live price. When you send it, a person reviews it and sends your proposal.
Is there a design fee?
Designing in the online studio is free. A design fee ($75 for Essentials backdrop, $100 for Signature set, $150 for Showpiece) covers our custom design work and is credited to your balance when you book.
Can you make a custom 3D-printed or foam piece?
Yes, that's our specialty: oversize props printed in segments, carved foam sculpture, lit letters and logos, cake toppers and name signs. A one-off build is a Showpiece, priced on shop hours and materials after we see your idea. Printed favors start at $4 each with a 25-piece minimum.
Can I send you a photo or Pinterest board I love?
Yes. Upload an inspiration photo in the studio and we'll match it to our closest looks and pieces and pull its colors, or paste a Pinterest link in the request form.
Can you match my colors or theme?
Yes. Every event gets its own printed skins, linens and accents in your colors, and you can swap the whole palette or any single piece in the studio.
Delivery, setup and the venue
Do you set up and take down?
Yes. We deliver, set up inside the venue's window (our packages fit a 2-hour setup), and come back to take everything down. Setup or strike outside that window is billed by the hour.
Will anything be attached to the venue's walls or ceiling?
No. Every piece stands on its own. Nothing is nailed, taped or hung from the venue. Anything overhead, like ceiling drapes or chandeliers, hangs from our own freestanding truss.
Do you work with my venue?
Yes. We confirm load-in times, setup windows and décor rules with your venue before the event, so the design fits what they allow. Tell us the venue name when you start.
Can you do outdoor events or tents?
Often, yes. Tell us about the site and the weather plan. We drape tents and quote tents by hand, and wind and rain change which pieces we can bring.
Food, flowers and entertainment
Do you provide food or catering?
Yes, two ways: we cook and cater your event ourselves from a licensed kitchen, or we work with a licensed partner caterer you pick or we recommend, who bills the food directly. Either way we plan the menu with you, set up the buffet line, and rent chafing dishes, drink dispensers, dessert stands and popcorn, cotton candy, snow cone and hot dog carts.
Can you handle allergies and special requests?
Yes. Tell us about allergies, dietary needs and accessibility needs when you plan. We build the menu around them, label every dish on the buffet, and pass the list to any partner who prepares part of the meal. We cook in a shared kitchen that handles all major allergens. We label every dish, keep allergy plates separate, and cook them first, but we can't guarantee any food is free of trace allergens.
Are the flowers real?
Our florals are high-quality faux rentals by default. Fresh flowers are available for an extra charge from a partner florist, ordered at least 2 weeks out and not returnable.
Can you book a DJ, photographer or entertainment?
Yes, through partners: a DJ with sound and dance lighting, an event photographer, and a photo booth with an attendant. We also set up selfie stations, speakers with a mic for toasts, and TVs or projectors for slideshows. For character visits we book original look-alike performers, not licensed characters.
What we can and can't do
Can you do a Disney, Marvel or other character theme?
We can't print or sell licensed characters or brand logos. We design an original look-alike theme that captures the same feel, with your name and colors. Unit crests and insignia need written permission from the unit.
Do you do events on Fort Leonard Wood?
We serve Fort Leonard Wood units and families. For venues on post, tell us the venue and date and we'll confirm what's needed to work there. Many on-post venues, like Pershing Community Center, allow freestanding décor only and a short setup block, and our kit is built for that.
Is there anything you don't do?
We don't take jobs under $350, attach anything to the venue, or use licensed characters and logos without permission. And nothing is booked, bought or sent until a person on our team approves it.
